We are delighted to announce that one of our strategic partners, a global IT services integrator, has successfully completed a major ServiceNow to ServiceNow migration project for a major American utility and power company. This important project required the migration of a substantial volume of ITSM, HR, and Procure-to-Pay (P2P) data between ServiceNow instances as part of a Brownfield to Greenfield consolidation project. This included the migration of 2.85 million records plus 15 million audit records, along with 2.3 million attachments, while maintaining complete data integrity and relationship structures across multiple complex modules.

Tip 12: Workflow/Process Migration
The migration of workflow can be broken down into two categories: workflow definitions and contextual workflow. If you are migrating between the different instances of the same ITSM vendor platform (e.g. ServiceNow), it may be desirable to migrate the workflow definitions if you want users to follow the same processes. However, you should bear in mind that most workflow definitions are provided out-of-the-box based on ITIL standards and many of the workflow processes on your current system will have been customized. These customizations may refer to custom fields that you don’t want to introduce onto your new instance.
Migration of contextual workflow is much more complex and in most cases this cannot be done without a large investment in development effort or by making use of a third-party tool like Precision Bridge. Of course, this is only necessary for active records such as change requests where the in-flight workflow is partially complete.
In this case the corresponding workflow definition should be migrated first and the same issues relating to customizations should be taken into account before attempting to migrate the contextual workflow.
The alternative is to simply run the active records through to completion on the current system even beyond the point that the new instance goes into production although bear in mind that some requests can take several months to complete. In this case you may wish to replicate/ synchronize data between the old and new systems and selecting a migration tool that also includes this functionality can be very helpful to cover this situation.
If you are migrating from a different ITSM vendor platform the effort and cost required to migrate contextual workflow is considered to be extremely high because the data structures for storing workflow are completely different across these platforms. In some cases it might be possible to use a third-party tool to migrate the workflow definitions depending on the source and target vendor platforms in use.
TIP 12: Allocate time to review the workflow to determine what is required and the approach and tools you will use to ensure any required workflow transfer is carried out efficiently and effectively.
