Premier Cherwell Partner Migrates Over 8 Million Records from Cherwell to Ivanti Ahead of End-of-Life Deadline

A Premier Cherwell Partner based in Chicago was tasked with migrating critical ITSM data from their client's aging Cherwell platform to Ivanti before Cherwell reached end-of-life. The project involved transferring over 8 million records across multiple application types including Change, Incident, Problem, Service Request, Knowledge, and custom applications, while preserving complete workflow history, notes, comments, and attachments.

Challenges

The migration presented several significant challenges:

Platform complexity and end-of-life pressure. With Cherwell approaching end-of-life, the project timeline was fixed with no flexibility for delays, requiring efficient completion while maintaining business continuity.

Extensive data volume with complete history retention. Migrating over 8 million records while preserving all workflow histories, notes, comments, and attachments required a solution capable of handling extreme scale without compromising data integrity.

Hybrid data extraction approach. Although both platforms were cloud-based, Cherwell was also provided an SQL Server copy for local extraction that could be leveraged in the migration process. The integrator leveraged their SQL expertise to efficiently pull and manipulate data from both the SQL database and hosted system connections.

High expectations for automation efficiency. The client had spent over a decade performing manual migrations, which historically consumed 30-40% of project time. As the customer's preferred partner, the integrator faced high expectations to deliver significant time and cost savings.

Complex data transformations. The migration required extensive transformations across multiple application types and custom data structures, including daylight savings time adjustments and managing interconnected processes between systems.
